11. How Long We Keep Data

general contact requests: up to 12 months from the last communication;

requests that resulted in a contract: for the duration of the contract and thereafter for the period necessary to defend the parties' rights;

data relating to participation in workshops and events: generally up to 3 years after completion of the event;

facilitator applications that did not result in a collaboration: up to 24 months from the last interaction;

collaborator data: for the duration of the collaboration and thereafter, in accordance with legal obligations and applicable limitation periods;

data used for commercial communications: until consent is withdrawn or until we determine that the data is no longer current;

records relating to consent: for as long as necessary to demonstrate compliance with legal obligations;

technical data and security logs: generally between 30 and 90 days, except where necessary to investigate an incident;

financial and accounting documents: for the period required by applicable legislation, generally 5 years calculated from 1 July of the year following the end of the financial year in which they were prepared;

data involved in litigation or an investigation: until final resolution and expiry of the applicable legal limitation periods.

Upon expiry of the applicable retention periods, data will be deleted, anonymized or archived in accordance with the law.

To prevent disclosure of data to unauthorized persons, we may request additional information necessary to verify the applicant's identity. We will not request more information than is necessary for this verification.

We will generally respond within no more than one month from receipt of the request. In complex cases or where we receive a large number of requests, the deadline may be extended by up to two additional months, in which case we will inform you of the extension and the reasons for it.

Exercising your rights is, in principle, free of charge. In the case of requests that are manifestly unfounded or excessive, particularly because of their repetitive nature, we may charge a reasonable fee or refuse to act on the request, in accordance with the law.
